What return reconciliation means
Return reconciliation is checking that every refunded order has a return you actually received — and that every return that did not come back is either reimbursed by Amazon or claimed. For sellers shipping thousands of orders a month it is the single biggest source of hidden losses.
How the tool reconciles returns
- Orders — the All Orders report tells it what you shipped.
- Payments — the payment report shows sales, refunds, fees and reimbursements per order.
- Amazon's return status — the Returns Reconciliation report: Returned to Seller and POD Completed count as received.
- Your own records — scan returns with a barcode scanner, type order IDs or upload a list; condition (damaged, wrong item, empty box) is saved with photos.
- Replacements — original and replacement orders are judged together, so a pair is only claimed when something is really missing.
Works for every shipping model
| Model | How returns are handled |
|---|---|
| Easy Ship / Self Ship | Full reconciliation and SAFE-T claims |
| Seller Flex | Full reconciliation; your own warehouse code stays checked |
| FBA (Amazon FC) | Select your FCs and upload the FC Fulfillment report — FC orders are counted as returned to the FC and never claimed |
Return register
Every return is kept in one searchable register: order ID, tracking ID, SKU, date received, source (scan, file, Amazon report or FC) and condition. Search any order to see in one second whether it came back.
Frequently asked questions
Which return report should I download from Amazon?
The Returns Reconciliation report (CSV). Upload it exactly as downloaded — opening and saving it in Excel turns tracking IDs into numbers like 6.30E+11.
Can my warehouse staff record returns?
Yes. Add staff logins with limited access; they can scan returns from a phone or a USB barcode scanner.
Will uploading the same report twice double count?
No. Every row is stored once; overlapping dates and repeated files are skipped.
